Terms
Last updated 5 November 2026
These terms apply when you use MyDepositBack. MyDepositBack is a trading name of Sapionic Ltd, registered in England and Wales, company number 14207958. Registered office: 63 Gayville Road, London, SW11 6JW. Questions: [email protected].
1. What we do, and what we don’t
MyDepositBack helps tenants in England and Wales protect and get back their tenancy deposit. AI reads your documents and photos and drafts comments, replies and dispute papers. You check every word, make every choice, and send every message from your own email.
- We give legal information, not legal advice. We are not a law firm and are not regulated by the Solicitors Regulation Authority.
- We never contact your landlord, agent or deposit scheme for you.
- AI can make mistakes. Check what we draft before you send it, and tell us if something looks wrong.
- We can’t promise an outcome: your landlord, agent, scheme or a court decides.
2. Your account
- You must be 18 or over, and your tenancy must be in England or Wales.
- One account covers one deposit. Joint tenants can be named, but one lead tenant uses the account.
- Give us accurate details and add only documents and photos you’re entitled to share.
- You sign in with Google or a one-time link we email you. Keep access to that email safe.
3. Prices and paying
Your dashboard, deadlines and the protection check are free, as is the first room of each review. Everything else is paid for once, at the price shown before you pay and on our price list. That price is the full price: nothing is added when you pay. Payments are taken by Stripe (card, Apple Pay or Google Pay).
- The check-out pack costs less before the inspection than once you have the checkout report or a deduction claim. It covers everything until your deposit is paid out.
- The check-in pack and the fix list on their own aren’t taken off the price of the check-out pack.
4. Money back
Money back. If you buy the check-out pack at the fixed price once you have a deduction claim, and the landlord still keeps everything they claimed when you bought it, we refund what you paid.
5. Cancelling
You normally have 14 days to cancel a purchase. Because deposit deadlines are short, we ask before you pay whether we can start straight away. If you agree and then cancel within 14 days, we refund what you paid less a fair amount for the work already done. Once the service has been provided in full, you can’t cancel it.
To cancel, email [email protected] from the address on your account, or write to our registered office, before the 14 days are up. You can use your own words or this wording: “I am cancelling my contract for [the pack you bought], bought on [date]. My name and address are [your name and address]. Date: [today’s date].” We’ll refund you within 14 days of hearing from you, the same way you paid.
6. Your documents and photos
- They stay yours. You let us use them only to work on your deposit, as our privacy notice explains, including sending them to AI providers.
- We delete your deposit file, photos and AI results 12 months after your deposit is paid out, and you can delete them sooner in Settings. We don’t offer an export before deletion, so keep copies of anything you need.
7. If something goes wrong
We provide the service with reasonable care and skill. If we don’t, and that causes you a loss that was foreseeable, we’re responsible for it. We aren’t responsible for what your landlord, agent, scheme or a court decides, or for losses that come from a message you chose to send.
Our total responsibility to you is limited to what you paid us. Nothing in these terms limits what the law doesn’t allow us to limit, including your rights as a consumer or responsibility for death or injury caused by negligence, or for fraud.
8. Complaints
Email [email protected] and we’ll reply within 14 days.
9. Changes and the law
If we change these terms, we’ll show the new date here and tell you by email if the change affects you. The law of England and Wales applies. You can bring a claim in the courts of England and Wales, or where you live in the UK.
